Terms and Conditions – Mellivora African Travels

 

1. Acceptance of Terms

By making a booking with Mellivora African Travels (the Company), you confirm that you accept these Terms and Conditions.

2. Booking Tours
a) Making a Booking

Booking a safari or tour is an interactive process. Once you select a tour, we will discuss your options and recommend the best package for your preferences.

After you agree on a quote, we will send payment details for your deposit. Upon receiving your deposit, we will confirm your booking.

We will provide forms to collect important details, such as inbound flights, dietary restrictions, or other special requests. Only requests listed in the Registration Form are part of the contract. Requests outside the form are not guaranteed unless the Company confirms them.

The Company may decline to supply a trip at any time between booking and issuing final paperwork.

b) Price Guarantee

Once we receive your deposit, we guarantee the prices in your quotation, except in the following cases:

  • Estimated Price Increases: For bookings made far in advance, estimated increases may apply. Clients must cover increases up to twice the estimated amount.
  • Government Fees & Taxes: Clients are responsible for sudden changes in park fees or taxes in Tanzania.
  • Fuel Surcharges: Unexpected fuel cost increases may be passed on.
  • Major Errors: If a significant quotation error occurs, the Company may withdraw the offer.
  • Exchange Rate Fluctuations: Large changes in exchange rates affecting suppliers may be passed on.
3. Payment Terms
a) Deposit Payments
  • Camping Safaris: 10% deposit
  • Safari in Lodges: 40% deposit
  • Tailor-Made Options: 10–70% deposit as requested

Final payments can be made on arrival, with cash preferred.

b) Payment Methods

Payments can be made via:

  • Bank wire/transfer
  • Credit cards
  • Online payment platforms (e.g., PesaPal)

Note: All payments must go to Tanzanian company accounts. We do not have offshore accounts.

c) Group Payments

The Company accepts separate payments from individuals in a group. However, the group leader remains financially responsible for the entire trip.

d) Invoices and Receipts

Email a copy of your payment receipt to the Company. We will confirm receipt via email. Clients are responsible for transaction fees (e.g., credit card 3.5%, wire charges).

e) Currency

We accept US$, Euros, Tanzanian Shillings, and Pounds. Cash in US$ is preferred.

4. Tour Modifications
a) By the Company

While we strive to follow the itinerary, we may make changes due to:

  • Flight delays, bad weather, strikes, civil unrest, or other factors beyond our control
  • Lodge or road damage from natural events
  • Group scheduling challenges

Minor modifications include:

  • Replacing up to two lodges/hotels with equivalent alternatives
  • Changing the order of lodge/hotel nights
  • Adjusting the number of nights per lodge/hotel
  • Moving transportation between suppliers

Clients must accept changes arising from minor errors or omissions in trip paperwork.

b) By the Client

If you request changes after paying deposits, the Company may charge an amendment fee. Adding services is usually free. Cancelling elements triggers standard cancellation fees.

5. Cancellation Policy
a) By the Client
  • Cancelling less than 10 days before a tour: fees are forfeited.
  • Cancelling more than 10 days before a tour: refunds may be possible (subject to lodging policies), less transaction fees.
  • Exchanges of tours are allowed; no refunds for individual cancellations.
  • Full insurance coverage is required to protect against cancellations.
b) By the Company

Occasionally, a supplier may fail to deliver a service, or external events may make a trip unviable. In such cases, we may replace services or cancel the tour. Refunds of all land payments release the Company from further liability.

6. Insurance

All participants must obtain travel and medical insurance covering:

  • Trip cancellations
  • Medical emergencies
  • Evacuation and repatriation
  • Loss or theft of personal items

Clients are responsible for insurance. Activities such as para-sailing, scuba diving, mountain climbing, water sports, or horse-riding are undertaken at your own risk.

7. Tour Suitability and Behavior

The Company may terminate the trip of any client whose behavior poses danger, distress, or disruption to others.

Clients must disclose mobility limitations and health conditions. The Company may refuse participation if clients cannot safely complete the tour. In such cases, cancellation fees apply.

8. Problems During a Trip

Report any issues immediately to the Company or your guide. Prompt reporting allows quick resolution. Complaints raised post-trip without prior notice may not be addressed. Please provide supporting evidence (e.g., photos) when submitting claims.

9. Liabilities and Limitations

Mellivora African Travels is not liable for:

  • Acts or omissions of third-party suppliers
  • Delays, weather, strikes, epidemics, acts of God, terrorism, or war
  • Accidents, injuries, or losses outside the Company’s control

Clients are expected to remain aware of local conditions and exercise caution. Services outside the contract are not the Company’s responsibility.
